Facility teams make important repair and replacement decisions every day—but those decisions become much harder when critical information is difficult to find.

A replacement recommendation is only as strong as the information behind it. When equipment details, maintenance histories, warranties, and building plans are scattered—or live only in someone’s memory—teams can spend valuable time reconstructing the facts needed to support a capital decision.

This session will explore how to build a more useful information foundation for repairs, replacements, and capital planning. You’ll learn which asset details to capture, how to connect records to equipment locations, and how mobile access and QR codes can help teams find and update information in the field.

Through real-world examples, the session will demonstrate how accessible records help facility teams evaluate replacement needs, communicate priorities to leadership, and preserve institutional knowledge as equipment and staff change. Attendees will leave with actionable ideas for turning everyday facility information into stronger, more persuasive support for capital requests.
